Document Collection Tracker

Full instructions and common questions

Document Collection Tracker

Build a local checklist by person and document requirement. Record files, check extensions and sizes, manually review submissions and identify missing or resubmission items. Useful for registration, HR, supplier and event documents, with progress exports, reminder drafts and project backups.

How to use

  1. Create a project and add people with unique IDs and names, or import a people CSV. Set required documents, formats, sizes and due dates, or try the fictional sample.
  2. Choose a person and requirement, record actual files and inspect format and size checks. Valid files remain pending review. Check originals and explicitly confirm manual review before accepting; add notes for resubmission or waivers.
  3. Filter by person, department or status. Review required progress and missing items, save in this browser and download CSV checklists, reminder drafts or a JSON backup. Send reminders yourself.

Try an example

Create a fictional three-person project. An unsupported extension should require correction. A file meeting format and size rules remains pending review until explicit manual acceptance; waived items are not reported as accepted.

Limits and privacy

Records filenames, sizes and related metadata, without retaining attachments or verifying authenticity. Projects remain in this browser; download JSON backups to transfer devices. No upload, cloud sync or automatic messaging. Each project allows 100 people, 10 requirements and 1,000 items, up to 10 saved projects and 1 MB of JSON per project. People and rules are fixed after creation; create a new project to change requirements. If saving fails, keep the page open and download a backup.

Common questions

Will attachments remain after refresh?

Saving restores submission metadata and review status, not file contents. Keep originals separately; backups do not contain attachments.

Does passing file checks mean acceptance?

No. Automatic checks cover extensions and sizes. You review original content and authenticity; acceptance requires explicit manual confirmation.

Can people submit through a shared link?

This version is a local collection ledger. Collect files and record them here. It does not provide public upload links, shared accounts or automatic reminders.

What if several tabs edit one project?

Saving checks project versions. A detected update in another tab is not overwritten automatically. Review the stored version or back up your edits before proceeding.
