Key Takeaways
No Markup hides tracked edits; switching tracking off does not settle edits already recorded. Retain the review file, accept or reject changes in a handoff copy, return to All Markup, and handle comments separately. This exercise should end with “Send a copy on the 12th,” rather than accepting every proposal.

First separate visibility from a decision
Microsoft’s tracked-change instructions distinguish hiding markup from accepting or rejecting edits. No Markup can help you read the proposed result, but it does not prove that the file has been cleared. This walkthrough follows the desktop review workflow; controls vary by platform and version.
Save separate copies, for example review-original.docx and delivery-review.docx. Keep the first as the discussion record and use the second to apply confirmed decisions. These names are an editorial convention, not a versioning or audit feature Word creates for you.
Two edits need two decisions
This is a fictional teaching case, not a customer file or a reported Word test. The original says “Send the original on the 12th.” A reviewer proposes the 15th and a copy. Assume the owner explicitly confirms keeping the 12th but sending a copy. Your task is to implement those two decisions.
The Accept button does not establish approval. Confirm the intended decision first, then express it through the software. If approval is missing, retaining an unresolved review state is more accurate than choosing the tidiest-looking version.
| Proposed edit | Confirmed decision | Action |
|---|---|---|
| 12th → 15th | Keep the 12th | Reject this date edit |
| original → copy | Use a copy | Accept this object edit |
Apply decisions in the handoff copy
Show All Markup on the Review tab and check any reviewer or edit-type filters. Locate the date proposal and reject it; locate the original/copy proposal and accept it. A replacement may appear as a deletion and an insertion. Check the whole sentence rather than settling only half of the replacement.
Microsoft’s review tutorial explains that acceptance makes a proposal permanent and rejection discards it. Use Previous and Next to inspect what remains. Do not choose Accept All simply to clear the screen. If protection prevents a decision, ask the document owner to resolve it rather than bypassing protection.
A clean appearance is not the answer
Choose No Markup, see the 15th and a copy, and send it.
Reject the date edit and accept the copy edit. The sentence is “Send a copy on the 12th.”
Recheck the saved text, comments and delivery scope
Save the handoff copy, close and reopen it, select All Markup, and compare the complete sentence with the reference. Comments are separate: retain or delete them according to the handoff agreement. Settling text edits does not establish that comments disappeared. In desktop Windows, Document Inspector is under File → Info → Check for Issues → Inspect Document; check the features available in your own version.
For generated documents, see record checks when filling Word templates from Excel. For converted input, first check two-column PDF reading order. Clearing revisions does not prove that fields, reading order or attachments are correct; each stage needs its own check.
If collaboration will continue, identify both the retained review version and the copy intended for sending. Cleaning the handoff copy does not imply deleting the review original; version selection and retention should follow the actual agreement.
Four handoff checks
- Retain the review original and identify the exact copy to send.
- The date is the 12th and the object is a copy, matching the confirmed decisions.
- Check All Markup and filters for remaining edits; check comments separately.
- Reopen the actual saved file and disclose unresolved items.
